Donatelli ServicesRemote operations & automation

Fewer things that only you know how to do.

I set up the systems an owner-run business runs on: lead intake, work management, a knowledge base your AI assistants can actually use, and the playbooks that hold it together. Remote. Fixed price. On accounts you own.

  • Remote
  • Fixed-price builds
  • Handoff with a fix-it guide
  • Recent work: a San Diego design-build contractor

01What I do

Four things, done properly.

Each one ends with something that runs without me: a pipeline, a board, a knowledge base, a playbook. Set up in your accounts, documented, handed over.

Lead intake & pipeline automation

Every inquiry — web form, phone, text, email, referral — lands in one pipeline, gets an acknowledgment within minutes, and moves through stages you can see. Follow-ups fire on their own. Nothing depends on someone remembering.

You get
  • One intake path for every channel
  • Pipeline stages with owners and rules
  • Automated acknowledgments and follow-ups
  • A weekly view of what is stuck

Work-management setup & migration

Your jobs in a tool that matches how the work actually moves — set up from scratch, or migrated off the tool that stopped fitting. Boards, statuses, ownership, and only the automations that earn their keep. History comes along.

You get
  • A structure your team uses without reminders
  • Migrated records with a checked mapping
  • Permissions and views by role
  • Templates for the recurring jobs

Knowledge bases for AI assistants

Your pricing rules, process steps, templates and tribal knowledge, organized so an assistant answers from your facts instead of guessing. Works with Claude, ChatGPT, Copilot, or the assistant built into your tools.

You get
  • A source-of-truth knowledge base with owners
  • Retrieval set up for the assistant you use
  • A test set of real questions with expected answers
  • An update rhythm so it stays true

Operations playbooks

The written version of how the business runs: intake to invoice, who does what, what “done” means. Short enough that people use it, and matched to the systems above so the document and the tool agree.

You get
  • A one-page playbook per core process
  • Role checklists where they matter
  • A fix-it guide for when something breaks
  • An owner and a review date on every page

02Who it is for

Owner-run businesses where the owner is still the router.

Contractors, trades, design and field-service firms, and small professional practices — usually a few to a few dozen people, usually past the point where a shared inbox and a spreadsheet are enough. If every request still goes through you, that is the job.

ProofRecent work

A San Diego design-build contractor.

Sales, design, estimating, permitting, building, and warranty, with the same few people touching all of it. Lead intake, a job pipeline, and the playbook to match, set up remotely on the client’s own accounts and handed over with a fix-it guide.

03How an engagement runs

You know the price before I build. You own everything when I leave.

Six steps. Discovery is paid and credited back. The build is fixed price. Support is optional.

  1. Intro call

What is slow, what it costs you, what you have tried. If it is not a fit, I say so and point you somewhere useful.

  2. Paid discovery

A fixed fee to look at how work actually moves — the inbox, the spreadsheet, the phone. Credited back in full against the build.

  3. Fixed-price proposal

One scope, one price, one finish date. No hourly meter.

  4. Build

Remote, on accounts you own. Short written updates as it moves. Nothing goes live without a walkthrough.

  5. Handoff with a fix-it guide

Training for the people who will run it, plus a written fix-it guide for when something stalls.

  6. Optional support

A monthly block for changes, questions, and the small fixes that keep a system honest. Only if you want it.

04Scope, stated plainly

What I don’t do.

A short list, so you are not guessing and neither am I.

  • Build custom software

I configure and connect tools you can buy off the shelf, and write small pieces of glue code when nothing else will do. If you need an app built, I say so and point you to someone who builds apps.

  • Run your marketing

No ads, SEO, social media, or content. I make sure the leads your marketing produces do not fall on the floor.

  • Bookkeeping, payroll, tax, or legal

I connect your systems to the people who do those. I do not do them.

  • IT support

Hardware, networks, email hosting, and device setup belong to your IT provider.

  • Work on accounts I own

Everything is set up under your logins from day one. If we never speak again, it keeps working.

  • Open-ended hourly work

Scope, price, and finish date are agreed in writing before the build starts.

  • Strategy decks

I set up things that run, then show you they run.

  • Become your operations manager

Optional support covers the systems. Running the business stays with you and your team.

Bring the thing that is slow.

Thirty minutes, no prep, no pitch. If it is not a fit, I say so and point you somewhere useful.
